Successful Applicant

As a People Assistant, you will be an integral member of the People Team, providing responsive, accurate and confidential HR support across the employee lifecycle.

Reporting to a People Partner, you will combine HR administration and systems management with responsibility for entry-level employee relations matters. You will support managers and colleagues with routine cases, escalating higher-risk or complex matters appropriately, while ensuring compliance with UK employment law, internal policies and best practice.

What you’ll do:

Employee relations support

  • Act as an accessible first point of contact for routine HR queries from colleagues and managers, providing clear guidance on policies, procedures and standard people processes.
  • Manage entry-level employee relations matters within agreed authority levels, including absence review meetings and associated follow-up actions.
  • Support workplace investigations by arranging meetings, preparing documentation, taking accurate notes, gathering relevant information and helping managers follow the correct process.
  • Coordinate and support flexible working requests and meetings, ensuring documentation, timescales and outcomes are recorded accurately.
  • Provide administrative and procedural support for probation, attendance, conduct, capability, grievance and disciplinary matters, escalating complex, sensitive or higher-risk cases to a People Partner.
  • Track case actions, deadlines and correspondence, maintaining complete and confidential case records.
  • Support managers with meeting preparation and standard letters, ensuring advice and documentation are consistent with policy and employment law.

HR Administration and Systems

  • Own HR administration across the employee lifecycle, including starters, changes to terms and conditions, family leave, flexible working outcomes, leavers and other contractual changes.
  • Prepare and issue accurate contracts of employment, offer documentation, variation letters and other HR correspondence within agreed service levels and approval processes.
  • Maintain the HR information system and related databases, ensuring records are accurate, complete, timely and handled confidentially.
  • Process and validate employee data changes, including information required for payroll, benefits, reporting and compliance purposes.

Strictly private & confidential

  • Complete regular data-quality checks and resolve discrepancies, working with relevant teams where information affects payroll or other business systems.
  • Maintain electronic personnel files, document templates and audit trails in line with data retention, GDPR and information security requirements.
  • Support recruitment and onboarding activity, including offer processing, preemployment checks, references, DBS checks where required, induction coordination and liaison with teams such as Recruitment and IT.
  • Provide administrative support for acquisitions, integrations, restructures and other People projects as required.
  • Produce routine reports and management information, identifying missing data, overdue actions and recurring service issues.

People service

  • Manage the day-to-day People System, triaging, prioritising and resolving requests within agreed service levels.
  • Take ownership of tasks through to completion, seeking input or escalating where the issue exceeds the role’s authority or requires specialist advice.
  • Ensure records contain clear notes, supporting documents, actions and outcomes, while maintaining confidentiality.
  • Monitor request volumes, ageing and recurring themes, flagging risks and opportunities to improve guidance, processes or self-service content.
  • Build positive working relationships with colleagues and managers, delivering a professional, consistent and customer-focused HR service.
  • Support People Partners with projects, policy updates and initiatives that improve employee experience and operational efficiency.

Security and compliance

  • Handle colleague, customer, passenger and all other relevant information in line with UK GDPR, company policy and confidentiality requirements.
  • Follow information security policies and procedures and support the maintenance of ISO 27001 standards.
  • Ensure legal, contractual and policy compliance in all HR administration and employee relations activity.
  • Maintain professional attendance, punctuality and conduct, and follow relevant health and safety procedures.
  • Complete all mandatory training and maintain current knowledge of employment legislation and HR best practice.
  • Act fairly and professionally at all times and support other business areas when reasonably required.

  • Experience supporting absence reviews, investigations, flexible working requests or similar entry-level employee relations processes is desirable.
  • Strong experience using an HR information system, case management or ticketing system and Microsoft Office. Strictly private & confidential

  • High attention to detail and a commitment to data accuracy, confidentiality and reliable record keeping.
  • Clear written and verbal communication skills, with the confidence to build rapport and explain processes to colleagues and managers.
  • Sound judgement, including the ability to recognise risk and escalate matters appropriately.
  • A proactive, customer-focused approach and commitment to continuous professional development.
